How to assign custom roles and permissions in Spanning Backup for Salesforce?

 

By default, access to Spanning Backup for Salesforce is limited to users with the administrator profile and privileges in Salesforce.  We understand however that not all administrators are equal and that more granular control is required of the Spanning Backup for Salesforce UI and functions.

 

More granular control provides better security and reduces the risk of accidental deletions or unauthorized data exports for example.

 

Available roles and permissions

Roles & Permissions types Description
Administrator Administrator role by default, covers all permissions for Spanning Backup.

(Note: Only the Administrator can assign/un-assign Administrator role from other users)
Backups Allows a user to manually start a backup on demand
Metadata Compare Allows a user to view and run the Metadata Compare feature
Settings

Allows a user to view and make changes to Spanning Backup for Salesforce Settings

(Configurable settings include modifying Account information, Backup Schedule, Notification, Dashboard Configuration, Rule-Based Alerts

Permissions

Allows the user to add/remove permissions from Spanning Backup users.

(Note: requires Settings permission to be added as well). 

Backup Data Deletion And Anonymization

Allows the user to use the Backup Data Deletion and Anonymization feature. 

(note: requires Settings permission to be added as well)

Exports Access to the Export feature
Restores Access to the Restore feature
API Usage Access to API Usage feature
Activity History Access to Activity History feature
External API Key & Secret

Access to Settings -> External API Key & Secret 

(note: requires Settings permission to be added as well)

 

Assigning custom roles and permissions 

To get started you will need to log into your Salesforce organization and navigate to the Spanning Backup App installed from the AppExchange. Once there:

  1. Navigate to Settings. 
  2. Scroll down to Permissions and click Edit Permissions. 
  3. Select the user you would like to modify permissions for in the drop-down (Note: this list will auto populate with users who has opened Spanning Backup App in the past).
  4. Select or unselect the permissions you would like this user to have access to
  5. Click Save
  6. Clicking Confirm will apply the changes to the selected user
  7. You can then modify additional user roles or click Done to collapse the Permissions menu

By default any new user detected by Spanning will have read-only permissions on Spanning side until they got higher permissions from Spanning Administrator.
