Simplified Organization Management with IT Glue

Introduction 

This guide is designed for users who want to enable Simplified Organization Management with IT Glue. This integration simplifies how you create and manage your organizations within Graphus. It improves organization creation by importing your data from IT Glue into Graphus and keeping them synchronized. This article walks you through the step-by-step integration process. 

Simplified Organization Management Overview

The simplified organization management functionality is a significant Graphus enhancement that leverages a new integration with IT Glue.

  • This integration improves customer onboarding by importing the name and domains of an organization from IT Glue to Graphus.
  • It also improves customer management by automatically updating your organization names in Graphus when you change them in IT Glue.
  • You will be able to activate the integration in a few simple steps. We will automatically establish a mapping between organizations with matching names and start the synchronization between IT Glue and Graphus.  You can map organizations manually in case their names are not matching.

Prerequisites

  • You must have active Graphus and IT Glue accounts.
  • You must be an admin in both accounts to configure the integration. 

Setting up the Integration

Generate an API Key in IT Glue

All API endpoints require authentication using a private API key. You can generate one or more API keys for your account. To generate a new API key:

  • Log into your IT Glue account. Fill in the credentials and click Log in

  • Users with an administrator role can navigate to Account > Settings.
  • Click on API Keys > Custom API Keys.

  • Enter a name for the key and click Generate API Key. Copy the API key - you will not be able to view a key again after it has been generated.
  • For security, an optional Password Access setting is provided for each API key. Password values can only be accessed from the Passwords API if this setting is enabled.
  • Click the plus "+" sign icon to generate multiple API keys.

Note: You can stop the integration by clicking the "-" icon.

Important: Anyone with your key can access your data, so it's important to keep it private. You can revoke an old API key and generate a new one at any time from your IT Glue account. Any requests made using your old key will no longer work.

Once the API key is generated, you can see the message on the top-right corner of the screen. Copy the generated API key from the field.

Once you have copied the API key, follow the below steps on Graphus. 

Activate the Integration in Graphus

  • Log into the Graphus account.
  • Click MSP Administration from the top menu and navigate to Integrations. This page will show you all available integrations.
  • Go to the IT Glue tile to proceed further.
  • Click Connect Integration to set up the integration with IT Glue.

  • Enter the API key you copied from the IT Glue portal, select the matching IT Glue data center region, and click Connect

Region: Select the region to determine the data center location from where data is being fetched. The available data centers are in the United States, Europe, and Australia.

You will see a notification after the integration is connected successfully.

Map existing Graphus Organizations with IT Glue

Before you can synchronize your data, you need to map your Graphus and IT Glue organizations.  

Automatic Mapping

While activating the integration, an initial synchronization will try to automatically match your Graphus and IT Glue organizations and establish a mapping. 

  • The initial synchronization will automatically map organizations with 100% matching names. 

  • You can view the successfully mapped organization names under the IT Glue Organization column. You will see the "None" field when organizations are not mapped automatically. 

Note: One IT Glue organization can only be linked with one organization in Graphus. Organization names are case-sensitive.

Manual Mapping

You can manually map organizations between IT Glue and Graphus on the mapping page.

  • Go to the Graphus organization you want to map with an IT Glue organization.
  • You will see a drop-down field in the IT Glue Organization column when you hover with your mouse over the existing IT Glue organization name (if you want to change an existing mapping) or "None" (if you establish the first mapping for this organization)
  • Select the IT Glue organization name that you want to link to this specific Graphus organization. Please be aware that organization names are case-sensitive, and you will only see not yet mapped organization names. For example, If you want to sync Graphus organization Demo with IT Glue organization Sandbox Graphus.

  • Once you select the organization from the drop-down, organizations will be mapped automatically, and the status toggle will switch to active. To view the successful mapping, you must refresh the action icon for this particular mapping.

The example below shows that how successfully both Graphus and IT Glue organizations are manually mapped.

Graphus automatically synchronizes all your mapped organizations overnight, but you can also start a manual synchronization if you need them updated instantly. If you just want to refresh specific organizations, you can use the Refresh action icon in the mapping table.

Add a new Graphus Organization and Import IT Glue Data

When you add a new Graphus organization, you can import the organization name and primary email domain from IT Glue. When you do so, the mapping will automatically be set up for this specific organization.

Follow the below steps to add a new Graphus organization and import existing IT Glue organization data.

  • Go to Organizations and Add Organization.

  • To import an organization from IT Glue to Graphus, click the Add from IT Glue button.

  • Select the IT Glue organization name that you want to import.

Note: You will only see the name of IT Glue organizations that are not already mapped with a Graphus organization. You can disconnect the mapping of an organization on the integration page by picking "None" in the IT Glue Organization column.

  • Once you add an organization name from IT Glue, you may also import the organization's primary domain. Be sure that this domain is the one that you are using in MS 365 or Google Workspace. If you don't find your primary domain in the drop-down, you can enter it manually on the next page.

  • Click Import. 
  • Graphus will auto-populate the imported IT Glue organization name and domain on the Graphus Add Organization page. 

Note: If you didn't find your primary domain in the IT Glue domain list, you could add it manually on this page. Please ensure that the selected domain is associated with your Microsoft Office 365 or Google Workspace account. You will not be able to change this domain after we create your account.

  • Provide all the required information and click Add Organization.

Note: You can add an organization from IT Glue to Graphus one after the other. To add more organizations, repeat this process.

Additional Information

Mapping Page 

Action button: You can manually synchronize a specific organization using the refresh action icon within the mapping table. This will instantly synchronize this particular organization with IT Glue.

The synchronization will immediately update your Graphus organization and overwrite its existing name with the name from IT Glue.

Status toggle button (pause daily sync): You can manually pause the synchronization for a specific organization within the mapping table. You can go to the organization you want to pause and deactivate the status toggle button.

Integration Settings

Clicking Integration Settings from the top right screen of the page opens the Integration Settings modal.

API Key

Once successfully enabled the integration, you can change the API key and IT Glue region in the modal integration settings. 

  • Click Integration Settings on the mapping page.
  • Click the API Key tab in the Integration Settings modal.
  • Enter the new API key and/or region and click Apply

Sync Settings

  • Start Manual Sync: Graphus automatically synchronizes all your mapped organizations overnight, but you can also start a manual synchronization if you need them updated instantly. If you just want to refresh specific organizations, you can use the Refresh action icon in the mapping table.
    • Click the Integration Settings button on the mapping page.
    • You can go to the Sync Settings tab in the Integration Settings modal.
    • Click the Start Manual Sync radio button and Apply button.

The manual sync process might take a few seconds to minutes, depending on how much data Graphus will have to fetch. You can keep working in Graphus and return to the mapping page or reload the page to check if your changes have been applied.

  • Pause Daily Sync: You can pause the automatic daily synchronization, which occurs daily at midnight Eastern Standard Time (EST).
    • Click Integration Settings on the mapping page.
    • Go to the Sync Settings tab in the Integration Settings modal.
    • Click the Pause Daily Sync button and click Apply.

You will see a notification once you pause the daily synchronization.

  • Resume Daily Sync: You can manually reactivate the daily synchronization at any time.
    • Click Integration Settings on the mapping page.
    • Go to the Sync Settings tab in the Integration Settings modal
    • Click the Resume Daily Sync button and click Apply.

  • Deactivate Integration: You can manually deactivate the integration with IT Glue. 
    • Click Integration Settings on the mapping page.
    • In the sync settings modal window, click Deactivate Integration button. 
    • A pop-up appears on the screen with the following message: "Are you sure you want to deactivate integration with IT Glue? All mapping will be lost & cannot be undone." Click  OK.

Note: Once you click the OK button, the mapped organizations linked to IT Glue will get deactivated and cannot be undone. This means you will no longer be synchronizing organizations with IT Glue, and you won't be able to import organizations from IT Glue to create a new organization within Graphus.

Integration Page

  • After you connect the Integration successfully, the IT Glue integration tile on the integration page will change. You will see a Connected button when you actively integrate with IT Glue.
    • The Edit icon redirects you Integration Settings modal window. 
    • The Disconnect icon will open the Deactivate Integration modal window.

Deleted IT Glue organization 

  • Deleting an IT Glue organization that is in sync with the Graphus organization will remove the mapping and stop the synchronization between the two matching organizations.
  • Consequently, the organization name in the IT Glue organization column will change to None
