How to Control Client Email Notifications

This guide explains why clients may be receiving email notifications unexpectedly and how to configure exclusions and default contacts to prevent unwanted emails.

Step 1: Open the Client Email Configurations Page

  • Navigate to the Configurations page.

  • Locate the section for Client Email Notifications.

Step 2: Manage Invoice Due Notice Exclusions

  • Find the Invoice Due Notices section.

  • Click the Customer Exclusions button.

  • Begin typing the customer’s name to search for them.

  • Select the customer to add them to the exclusion list.

  • Once added, the customer will no longer receive invoice due notice emails.

Step 3: Remove a Customer from Invoice Due Notice Exclusions (If Needed)

  • Return to the Customer Exclusions button in the Invoice Due Notices section.

  • Select the customer from the list.

  • Click Remove to take them off the exclusion list.

  • The customer will resume receiving invoice due notice emails.

Step 4: Manage Account Notification Exclusions

  • Scroll to the Account Notifications section.

  • Click the Customer Exclusions button.

  • Add customers who should not receive:

    • Account summary emails

    • New invoice notification emails

Important: Exclusions are managed separately. If a customer should be excluded from both invoice due notices and account notifications, you must add them to each exclusion list individually.

Step 5: Use Default Contacts to Control Email Delivery

  • Locate the Default Contacts section.

  • Add a distribution email address (recommended best practice) as the default contact.

  • Example: a billing or accounting distribution email.

Step 6: Add Additional Default Notification Contacts

  • To include more recipients, manually add their email addresses in the Default Contacts section.

  • These contacts will receive notifications associated with the account.

Note: Only one email address can be automatically set as a default contact. Any additional default contacts must be added manually.

Step 7: Remove Default Contacts

  • Click on the contact you want to remove.

  • Select the star icon again or click the X next to the email address.

  • Contacts added manually can be removed manually at any time.

I wanna take a minute here to go through issues with wondering on thoughts of why my clients are getting an email notification when they shouldn't be. First off, I wanna take you through the configurations page with client emails. We have a couple of different notifications here where we can add customers to the customer exclusions button. For example, for the invoice due notices, we have a customer exclusions list right here where you can start typing in a customer.

If you want them not to receive an email, you can add them to this list. And at any time, if you wanna remove them, you could simply go back to this button and then click the remove button to remove them from this list. The other section here with the customer exclusions is under the account notifications section with the customer exclusions button. Note that this exclusion will exclude them from receiving an account summary email along with the new invoice notification email.

These customer exclusions are separated from each other. So if you wanted to add a customer to be excluded from both invoice due notices, you would have to add that company to each exclusion list. The other aspect in here for helping with emailing is for the default contacts.

A good practice for helping to exclude customers from receiving emails is to use a distribution email address as a default contact. Here, I've put in a test billing type distribution email address. If we also wanted to add additional people to this, we could simply add them in here manually. Now I have a second default notification contact.

As of right now, you can only have one email address coming from auto test as a default contact. If you wanted additional emails as default contacts, you would have to add them manually here. To remove them, you can either simply click on the contact and hit this star again or appear at the top. You notice how it has an x next to this email.

This is because this one was set manually within ConnectBooster, so you can manually remove it as well.
