Shared Drives. How to Ensure Shared Drives Are Protected?

 

When using a Spanning backup for Google Workspace Shared Drives, it’s essential to follow certain guidelines to ensure data is protected effectively. This article outlines the key steps and considerations for managing Shared Drives

1. Assign a Member to Each Shared Drive

To enable backup for a Shared Drive, it must have at least one assigned member to Shared Drive. This member can either be:

  • An individual user (not part of any group).
  • A user who is part of a group with access to the Shared Drive.

Important:
Shared Drives without any assigned members will not be included in the backup process. It is crucial to periodically check your Shared Drives and ensure they have members assigned to avoid gaps in backup coverage.

2. Handling Shared Drives with "Viewer Only" Members

If all members of a Shared Drive have "Viewer" permissions, you will still be able to restore data. However, the restored data will be placed in a folder with a pre-defined name. This folder will have a prefix such as "Restored" to distinguish it from other content.

Note:

We don't have dependency between users assigned with Spanning license and users assigned to Shared Drive. User might be assigned to Shared Drive but excluded from the backup in Spanning and we might protect Shared Drive.
