SaaS Protection: How to hide and unhide invoices

This guide explains how to hide an invoice so it no longer appears in the client portal, while keeping it in your accounting system.

 

Part 1: Locate the Invoice

Step 1: Go to the Overview Page

Start on the Overview page of the portal.

Step 2: Open the Client Profile

You have two options:

  • Select the company name directly from the Organizations tab
    OR

  • Use the search bar in the upper-right corner to search for the company

Once the company appears, click on the client name to open the Client Profile Page.

Step 3: Find the Invoice

  • Scroll down to the Open Invoices section.

  • Select the invoice you want to hide.

  • Copy the invoice number — you’ll need it in the next steps.


Part 2: Hide the Invoice

Step 4: Go to Entities

  • From the left-hand navigation menu, click Entities.

Step 5: Search for the Invoice

  • Change the search type to Invoice.

  • Paste the invoice number into the search field.

  • Click Search.

You may see multiple invoice entities appear. This is expected.

Step 6: Hide the Invoice

  • Scroll through the results until you locate the correct invoice.

  • Click the three dots next to it.

  • Select Hide.

Once hidden:

  • The page will auto-refresh.

  • A hidden invoice is identified by an eye icon with a line through it.

Step 7: Confirm It’s Hidden

  • Return to the Client Profile Page.

  • Scroll to Open Invoices.

  • The invoice should no longer be visible.


How to Make the Invoice Visible Again

If you need to restore visibility:

Step 1: Return to Entities

  • Go to Entities from the left-hand menu.

  • Set the search type to Invoice.

  • Enter the invoice number.

Step 2: Include Hidden Items

  • Before clicking search, check the box for Include Hidden Cards.

  • Click Search.

Multiple results may appear — this is normal.

Step 3: Restore Visibility

  • Scroll until you find the invoice marked with the eye icon with a line through it.

  • Click the three dots next to it.

  • Select Enable Visibility.

The page will auto-update.

Step 4: Confirm It’s Visible

  • Return to the Client Profile Page.

  • Scroll to Open Invoices.

  • The invoice will now be visible again.

Today, we're going to walk through how to hide an invoice that you don't want to remove from your accounting package, but also don't want visible in the portal.

We'll start on the overview page.

From here, you have two options.

Select the company name directly from the list using the organizations tab, or search for the company using the search bar in the upper right corner. Once it populates, select the client to open the client profile page.

Scroll down to the open invoices section and select the invoice you want to hide. Copy the invoice number as you'll need it in the next step.

Next, go to the left hand side of the portal and select entities.

On the entities page, change the search type to invoice. Paste the invoice number into the search field. Click search. You may see multiple invoice entities populate.

That's expected. Scroll through the list until you find the correct invoice. Once you've located the correct invoice, click the three dots next to it, select hide. A hidden invoice is indicated by an eye icon with a line through it.

The page will auto refresh. When you return to the client profile, scroll back down to open invoices, and you'll see that the invoice is no longer visible. If you need to make the invoice visible again, go back to the entities page, Set the search type to invoice. Enter the invoice number.

Before clicking search, check include hidden cards. Click search. You may see multiple results. Scroll until you find the hidden invoice identified by eye with a line icon.

Click the three dots. Select enable visibility. The page will auto update.

When you return to the client profile and scroll to open invoices, the invoice will now be visible again.
