KaseyaOne Admin Settings

The Admin Settings page, accessed from the left-hand sidebar, is designed to manage your users (like add new users, edit user's information, resend invitations, and reset user's 2FA), your Module URLs (like which URL you use to access VSA) and your Security settings (like IP Access Control). Please read below to learn how to use each of the features.

Note: Only a Master user has access to the Admin Settings page.

 User Management Tab

The User Management tab is where you will be managing all of your KaseyaOne users and their accounts. Please read below to learn how to manage your users.

Add a New User 

    1. Navigate to the User Management tab,
    2. Click the Add User dropdown button;
    3. Then select the New User option;

    4. In the New User window, fill out the First and Last Name, Username, and Email Address fields and then choose at least one user role to be assigned. See the KaseyaOne User Roles article to learn more about user permissions.

      *Spanning Admin - If the user requires access to any of the Spanning modules, this box must be checked.
    5. Click the Add button. 

The new user will be created and an invitation email will be sent to the user's email address. The user's status will be Invited and 2FA status will be Not Enrolled. Once the user signed up and enrolled with 2FA, its status will be changed to Active and the Reset 2FA option will be active. 

Bulk Invite Users

You can upload a CSV file to add multiple new users in one step.

  1. Navigate to the User Management tab; 
  2. Click the Add User button;
  3. Then select the Bulk Invite CSV option;mceclip2.png

  4. Click the download our template and instructions link. Unzip the users.zip file downloaded and fill out the CSV. (Please read the README file for the CSV format and validation.) 
  5. Then drag the CVS file to the Bulk Invite Users window or click Browse to select a file from your computer;

  6. Once the file is uploaded, the user import will automatically begin. 
  7. After the CSV file has been successfully uploaded, review the results and click the Done button.

The new users will be created and welcome emails will be sent to the users` email addresses. The users' statuses will be Invited and the 2FA option will be Not Enrolled. Once users sign up and enroll with 2FA, their statuses will change to Active, the Reset 2FA option will be available. 

Edit User 

  1. Navigate to the User Management tab; 
  2. Click the Edit (Pencil) icon on the far right-hand side of the user's line;

  3. In the Edit User popup window, change the necessary information.  
    Note: If the email was changed, the email will not be updated until the user clicks on the confirmation link sent to the new email. 
  4. Click the Save button.

Reset Two-Factor Authentication(2FA)  

  1. Navigate to the User Management tab; 
  2. In the 2FA column, click the Reset button next to the user that needs a new 2FA;

  3. In the Reset 2FA popup window, click Reset;

The user will un-enroll from 2FA, the 2FA option will change to Not Enrolled. The next time the user logs into KaseyaOne, the user will be forced to enroll with 2FA again. 

Resend Invitation Email 

  1. Navigate to the User Management tab; 
  2. In the Invite column, click the Resend button;

The invitation email will be sent to the user's email address. 

Delete User  

  1. Navigate to the User Management tab; 
  2. Click the Delete (Trashcan) icon to the far right-hand side of the user you want to delete;

  3. In the Delete User popup window, click the Delete button to delete the user;

The user will be deleted from your KaseyaOne company. 

 

Module URLs Tab

The Module URLs tab is where you will manage all of your Kaseya IT Complete Suite modules. Here you will add which modules own and how to navigate to them when a user clicks the module button. Please read below to learn how to manage your KaseyaOne modules.

Add a Module

  1. Navigate to the Module URLs tab;
  2. Click the +Add button;

  3. In the Add Module URL popup window, select the module you want to add from the drop-down menu.

  4. Then, in the URL field, paste the URL your company uses to access the module.

  5. Click the Add button to add the module to your launcher.

Edit Module URL

  1. Navigate to the Module URLs tab;
  2. Click the Edit (Pencil) icon next to the module you want to change;mceclip12.png
  3. Change the URL to the desired URL;
  4. Click the Checkmark button to save your changes.

Delete Module URL

  1. Navigate to the Module URLs tab;
  2. Click the Delete (Trashcan) icon next to the module on the far right-hand side;

  3. In the Delete module override popup window, click the Delete button to remove the module from your launcher.

Security Tab

The Security tab is where you will manage the security settings for your KaseyaOne account. Currently, the only security setting is IP Access Control, but other security options like Password Policy will be added in the future. 

IP Access Control

In this section, you can control which locations (IP addresses) have access to your KaseyaOne account. Enabling this feature will allow you to secure your account by only allowing someone to log in from your office IP address for example.

Adding IP Addresses

  1. Navigate to the Security tab;
  2. Click the +Add button;

  3. In the Add IP Addresses popup window, you will see that your current IP address has already been added and cannot be removed. This is to ensure that you do not block your own access to your KaseyaOne account.



  4. If your current IP is the only one your are adding, you can also enter notes in the Notes field. If you are adding multiple addresses the Notes field will be unavailable, but you can always enter notes after the addresses are added.

  5. If you are entering multiple addresses, enter them in the IP Address field one by one or you can enter a range of IP addresses using CIDR notation (e.g.. 192.168.1.1/24). Press enter after each IP address entry to add them to the list.

  6. If you made a mistake and need to delete one of the entries, just click the X on the IP Address Tag to remove it from the list.

  7. Once you are satisfied with the list of IP addresses in the list, click the Add button.

  8. You will now see the IP addresses you added in the list and a message stating Success, IP Addresses added!

  9. The final step is to toggle the Enable IP Address Access List option below the list to enable the feature. Now users will only be able to access your KaseyaOne account from the IP addresses on your list.

  10. If you made a mistake and enabled IP Access Control with an IP address that is not valid and can no longer access your account, support can disable the feature so you can regain access.

Adding Notes to IP Addresses

  1. Navigate to the Security tab;
  2. Hover over the IP Address you would like to edit and click the Pencil icon;

  3. Enter your notes in the Notes field;
  4. Click the Checkmark to save your notes;

  5. You will now see your notes next to the IP Address you edited and a message stating Success, IP Address edited!

Deleting IP Addresses

  1. Navigate to the Security tab;
  2. Hover over the IP Address you want to delete and click the Trashcan icon;

  3. In the Delete IP Address popup window, click the Delete button to confirm the deletion of the IP Address.

  4. You will see that the IP Address you deleted is no longer there and a message stating Success, IP Address deleted!

Disable IP Access Control

  1. Navigate to the Security tab;
  2. Toggle the Enable IP Address Access List button to disable the feature;

  3. The toggle for the Enable IP Address Access List will be off and grayed out.
